Reimagining the meeting experience: how technology and design drive hybrid success

From structured to spontaneous, meetings now demand more. A new report from Barco ClickShare explores how to design spaces that flex to every team’s needs

Hybrid work has changed not just where we meet – but how. A new report from Barco ClickShare, in partnership with WORKTECH Academy, explores what it takes to design meeting environments that respond to different team cultures, behaviours and goals.

From fast-paced decision-making to open-ended collaboration, today’s meetings are far from one-size-fits-all. Yet many spaces and technologies still assume uniformity. The report offers a framework for aligning meeting typologies with spatial and technological design to enable more intentional, inclusive and effective interactions.

Mapping meeting modes

The report outlines four distinct meeting typologies, shaped by cultural and functional needs, and explores the spatial and technological solutions required to support each one

  • Collaborative meetings Centred on openness, trust and team cohesion, these meetings benefit from informal layouts, inclusive AV tools and flexible spaces that encourage participation from all attendees – in-room and remote alike.
  • Creative meetings – Spontaneous and fast-moving, these thrive on visual thinking, rapid dialogue and shared ideation. Responsive tech and adaptable layouts are essential to maintain momentum across hybrid setups.
  • Competitive meetings – Outcome-driven and structured, these focus on speed, clarity and performance. High-stakes decision-making calls for robust tech, frictionless data sharing and tools that streamline discussion without diluting input.
  • Controlled meetings – Defined by hierarchy, process and predictability, these meetings depend on consistency and formality. Structured formats and fixed AV setups support clarity, while selective participation tools can enable more inclusive dialogue without disrupting flow.

By combining academic insight with real-world examples, the report helps organisations respond to the growing complexity of hybrid work – designing spaces that adapt to people, not the other way around.
